The most dangerous economy in Japan: substituting a white-plate rental van with an ordinary-license driver for a legal green-plate commercial vehicle with a Type-2 professional driver. That's an illegal "shiro-taku" — and if there's an accident, commercial passenger insurance may not cover your family. Five questions that reveal who is actually driving you

Whichever way you book, the thing worth establishing is not the brand on the invoice but who holds the operating licence for the vehicle and who you reach at 11pm when a flight is late. These five questions surface that quickly, and they work on us as well as on anyone else:

  1. "Who operates the vehicle, and do they hold the transport licence?" A direct answer naming the operator is a good sign. A vague "our local partner" that cannot be named is not.
  2. "Is the vehicle a green-plate commercial registration?" Paid passenger transport in Japan requires a commercial (green) plate and a Type-2 licensed driver. This is a yes/no question with no legitimate hedge.
  3. "Who do I contact on the day, and in what language?" Find out whether it is the agency in your own timezone, a Japanese office in business hours, or someone reachable when your flight actually lands.
  4. "What is the total, including tolls, parking and waiting?" The gap between a quoted price and a final price is where most complaints originate. Ask for the all-in number in writing.
  5. "What happens if my flight is delayed by three hours?" The answer tells you whether anyone is monitoring the flight, how long the free waiting runs, and who absorbs the cost.

If the answers come back thin, that is information regardless of whether you are talking to an agency or an operator. And if a direct operator cannot answer question 2 crisply, walk away from them too.

The case for booking through an agency, stated properly

It would be self-serving to write this page as though direct booking always wins. It does not, and here is where it genuinely does not:

  • You want one contract covering flights, hotels and ground. If something goes wrong mid-trip, having a single counterparty who owns the whole itinerary is worth real money — and it is not something a ground operator can offer.
  • You want consumer protection under your own country's law. A booking made with a licensed travel agency at home usually sits inside a regulatory and insolvency-protection regime that a direct overseas booking does not.
  • You do not want to coordinate anything. Assembling a two-week itinerary from separate suppliers is work. Paying someone to do that work is a legitimate choice, not a mistake.
  • Complex group or corporate travel. Invoicing, approvals and changes across many travellers are what agencies are built for.

Direct booking makes most sense when the ground arrangements are the trip — a driver-led itinerary, a few transfers, a day charter — and you want to talk to whoever is actually doing it.

Karazawa Ryou was our driver. He texted us his contact info via Whatsap the day before our flight. In between flights, we learned that our connecting flight had been delayed. Instead of arriving at 9:15pm, we would now be arriving at I1:30pm. Such a significant amount of delay time...plus, arriving so much LATER at night, I was worried that our driver would no longer be able to pick us up. I notified him, and he responded, "Don't worry. I'll wait for you. See you later." He even included a smiley face! I went from panic to peace in an instant. As we were exiting the plane, I received a text from him notifying me that we had landed at Terminal 2, so it would be quicker to get out. I should let him know once we had picked up our luggage, and he would be at the exit within one minute with a sign. I was pleasantly surprised at how smoothly this process went, and the SUV exceeded my expectations. It was lush and immaculately clean.
