Business Trip in Japan: Airport Transfers with a Proper 領収書

Quick AnswerRydAgent's airport transfers are fixed-price (Narita → Tokyo from ¥24,000, Haneda from ¥16,000, tolls included, no night surcharge) and come with a proper Japanese 領収書 on request: addressee, description line and ride date/time written exactly as you specify, PDF by email, issued any time after the trip — round trips combined or separate. The price is fixed at booking, so the number on your travel request matches the number on the receipt. Book in 30 seconds at rydagent.com. No account, no login.

The Real Problem Is the Expense Report

Every guide compares Narita transfer options by speed and price. Business travelers have a different filter: will accounting accept it? Street-taxi receipts usually lack an addressee and description line (handwritten ones depend on the driver), ride-hail apps give you an email trip summary that some Japanese companies won't accept as a 領収書, and metered fares can't be written into a travel request before you fly. The ride is easy; the paperwork is the pain.

What Our Receipts Actually Include

  • Addressee (宛名): personal or company name, exactly as specified.
  • Description (但し書き): your wording — e.g. 'Fixed taxi fare from Narita Airport to ○○', a format that passes Japanese expense review as-is.
  • Ride date & time: standard on every receipt; round-trip legs listed separately if you need.
  • After-trip issuance: email us any time after the ride, PDF comes back.
  • Combined or split: one receipt for both legs, or one each.
  • Reissues: corrections and additions handled same-day.

This isn't brochure language — it's how it already works. In July, a business customer using us for a round trip asked us to add the ride dates to his receipts; we reissued within the hour, and ride date/time became a standard field on every receipt since.

The four fields an expense department actually checks

Most receipt complaints are not about the amount. They are about a missing field that sends the claim back for reissue, usually after the trip when nobody remembers the details. From real reissue requests, these are the four that matter:

FieldJapaneseWhy it gets rejected without it
Company name on the receipt宛名A blank or 上様 receipt is not attributable to the employer
Description of the service但し書き"Transport" is too vague; it needs to name the journey — for example "成田空港から○○までのタクシー定額代"
Number of passengers人數Determines whether it reads as one person's travel or a shared vehicle
Date and time of travel乗車日時The most commonly omitted field, and the one that most often forces a reissue — the date the receipt was written is not the date of travel

The last row is worth dwelling on because it is the failure we have actually seen cause repeat reissues: a receipt showing only the issue date, submitted against a trip on a different day, gets bounced. We now treat 乗車日時 as a standard field rather than an optional one.

Why a taxi receipt often is not enough

This is the part travellers discover after the fact. A metered taxi issues a printed slip with a fare and a date; ride-hailing apps issue an emailed summary. Neither normally carries a 宛名 or a written 但し書き describing the journey, and neither is straightforward to have reissued once you have left the country.

That is the practical difference this page is about — not that the vehicle is nicer, but that the paperwork is issued to specification the first time, and can be reissued or corrected afterwards by email because the booking record still exists. If your expense process is strict, that is worth more than the fare difference.

Fixed Price, Straight Through to Accounting

Narita → Tokyo 23 wards: ¥24,000 fixed for an Alphard (4 passengers + 4 suitcases), ¥30,000 for the 9-seat HiAce if the whole team travels together. Haneda → Tokyo: ¥16,000 / ¥20,000. Tolls and airport meet & greet included, no surge, no night surcharge — a 23:30 landing costs the same as a 15:00 one, and your flight is tracked so a delay never strands you. The figure you book is the figure you expense.

大阪出張: receipts for Kansai Airport and Itami transfers

The receipt (領収書) is issued the same way for Osaka business trips. The two airports differ: Itami is the domestic airport 30 minutes from Umeda and Honmachi, Kansai is the international one about 50 minutes out; both prices are fixed and both appear on one receipt per booking, which is what an expense claim needs.

Kansai fixed prices:

The driver contacted us as soon as we landed in Tokyo. He provided clear instructions how to meet after we got our luggage. He had to wait an extra 30 mins since our plane was delayed. Great service, great / clean car and a nice ride to our hotel. Thanks.

My wife and I had a flawless experience using this transfer service from Tokyo's Haneda Airport to Central Tokyo. Although we are in our 70s, we are experienced travelers and usually take public transit or a taxi from airports to hotels. However, this was our first trip to Asia and with a 12-hour flight from Chicago, we decided that we needed to make the hotel transfer easy. And it was. Communication with the company was excellent. They messaged me through WhatsApp several times to make everything was clear. In fact, I messaged them when we landed, that the plane was an hour early and hoped they could pick us up sooner. They responded yes and sure enough our driver,John, was there to meet us past customs. John was very friendly and very professional. His English was excellent. He handled the luggage. The vehicle was comfortable. He made us feel welcome. I highly recommend them and would use them again without hesitation.

Our driver picked us up at our hotel and dropped us at Haneda Airport Departures (Terminal 3) as requested. It was a very comfortable and safe ride and the vehicle was very clean and spacious. Thank you so much!

Great experience using this private transfer from our hotel to Haneda Airport. Booking was easy, and when we needed to adjust our pickup time, the operator was very responsive. The driver arrived on time and the ride was smooth and stress-free. Would definitely use again.

Professional service that takes the stress out of airport transfers. Our family has been to Tokyo a few times. Airport transfer by train, taxi, and private car. This service is good value, especially for groups. We had a very comfortable and well kept vehicle. Driver was very professional, polite, and easy to work with. We had an hour long flight delay and sat on the runway for 20 minutes after landing. This service was very flexible and helpful through the situation. Driver was patiently waiting when we arrived.

Karazawa Ryou was our driver. He texted us his contact info via Whatsap the day before our flight. In between flights, we learned that our connecting flight had been delayed. Instead of arriving at 9:15pm, we would now be arriving at I1:30pm. Such a significant amount of delay time...plus, arriving so much LATER at night, I was worried that our driver would no longer be able to pick us up. I notified him, and he responded, "Don't worry. I'll wait for you. See you later." He even included a smiley face! I went from panic to peace in an instant. As we were exiting the plane, I received a text from him notifying me that we had landed at Terminal 2, so it would be quicker to get out. I should let him know once we had picked up our luggage, and he would be at the exit within one minute with a sign. I was pleasantly surprised at how smoothly this process went, and the SUV exceeded my expectations. It was lush and immaculately clean. I commend the driver on his professionalism and would not hesitate to hire him again. This experience was BETTER THAN PERFECT!

Excellent experience from start to finish. Communication before arrival was clear and professional, and the driver was waiting exactly as instructed after we cleared customs at Haneda Airport. After a long international flight, having a smooth private transfer to our hotel made a huge difference. The vehicle was clean and comfortable, the ride was efficient, and the entire process felt very organized and stress-free. We especially appreciated the prompt responses and easy coordination through WhatsApp. Highly recommend KJ Tour for anyone arriving in Tokyo and wanting a reliable, comfortable airport transfer experience.
