What Goes Wrong on Japan Airport Transfers: Our 2026 Data

Quick Answer Across 1,259 rides RydAgent arranged from September 1 to October 27, 2026, the most common problem was a moment when traveler and driver couldn't find each other at the pickup point (41 bookings), followed by a flight that was delayed, cancelled or rebooked (31). Mistakes on our side — a driver late or waiting in the wrong place, the wrong child seat, a driver whose English fell short of the option paid for, a waiting fee taken in cash when none was due — came to 28 bookings (2.2%), and every one of those travelers was compensated. A driver not showing up at all is rarer: twice in about 1,450 rides from April to early October 2026. RydAgent's fixed prices — ¥16,000 from Haneda and ¥24,000 from Narita to central Tokyo in a Toyota Alphard (up to 4 passengers) — don't go up when a flight lands late, because the 90 free waiting minutes start at actual landing. When something does go wrong, AI or a real person on our team responds in the chat on your booking page. Book in 30 seconds at rydagent.com. No account, no login.

Every transfer company tells you what goes right. This page is the other half: what actually went wrong on our rides in September and October 2026, how often, and what happened next. Before booking, most travelers ask about the price; underneath it is a second question — what if something goes wrong? The honest answer is a list with numbers on it.

How we counted

We took the 1,259 rides RydAgent arranged with its partner transport companies for service dates from September 1 to October 27, 2026 — 753 of them airport pickups — and went through every message travelers sent us about them; 712 of those bookings had at least one. Each message was labeled with the help of an AI model, and every message marked as a problem was then read by hand. A problem counts once per booking, and only if the traveler told us, so some things are undercounted: we track flights booked with a flight number, and most delays never needed a message at all.

What went wrong, ranked

What happenedBookingsShare
Traveler and driver couldn't find each other at first413.3% of all rides
Flight delayed, cancelled or rebooked (that travelers told us about)314.1% of airport pickups
A mistake on our side (details below)282.2% of all rides
Something left in the car60.5% of all rides
Unusually long immigration or customs line50.7% of airport pickups
Booked for the wrong date or time50.4% of all rides
Driver didn't show up at all12 in about 1,450 rides from April 7 to October 6

Some bookings sit in two rows: in 12 of the 41 "couldn't find each other" bookings it was our driver's fault, and those are also counted among our mistakes.

1. Finding each other at the pickup point (41 bookings)

This is the most common problem, and usually the most short-lived: the traveler is at one exit and the driver at another, or the driver is at the taxi rank while the traveler waits in the arrivals hall. Of the 41 bookings, 23 were airport pickups (3.1% of 753) and 18 were hotel, station or cruise-terminal pickups (3.6% of 506).

What we do: at airports, the driver waits in the arrivals hall with a name board, which is standard on our airport pickups; where an airport doesn't allow a board, the driver sends a photo and the exact spot in the chat on your booking page. For hotel and station pickups we usually notify you as soon as the driver arrives, and you can message the driver on your booking page, each of you in your own language. Once the driver is on the way, the booking page usually shows their live location on a map. On the day, the urgent line on your booking page reaches our team by phone or WhatsApp.

What helps: if you come out and can't see your driver, stay in the arrivals hall instead of walking outside, and send a photo of what's around you in the chat. At a hotel, wait in the lobby with your booking page open. More: where your driver waits at each Japanese airport.

2. Flights that land late or get cancelled (31 bookings)

Travelers wrote to us about a delayed, cancelled or rebooked flight in 31 bookings, 4.1% of airport pickups. Most were delays of 20 minutes to two hours, and the longest was five hours. Five were harder: airline cancellations and rebookings — one moved a group to Itami instead of Kansai, another to the next day — and a missed connection.

What we do: with your flight number on the booking we track the flight and the driver comes for the actual landing, so you don't need to tell us about a delay. The 90 minutes of free waiting start at actual landing. If the airline cancels your flight or moves it to another day, you choose a free change or a full refund, even inside 24 hours. Send us the new flight details as soon as you have them.

3. Long lines at immigration and customs (5 bookings)

Plenty of travelers send a "we're in the immigration line" message; that's normal. Five told us the line was unusually long — in one case hundreds of people with almost no desks open. Lines are longest when several long-haul flights land at once.

What we do: the free waiting starts at landing, not at your booked time, so a long line uses up minutes before it costs money. Past 90 minutes your driver keeps waiting as long as you ask, at ¥1,500 per 15 minutes for an Alphard (¥2,000 for a HiAce), and we reassign the driver's next job. What helps: head straight for the immigration area when you leave the plane; travelers with pre-school children, pregnant travelers and wheelchair users can ask airport staff about the priority lane. More: Japan airport immigration queue tips.

4. A booking made for the wrong date or time (5 bookings)

Overnight flights cause most of these: the traveler books the date they take off instead of the date they land in Japan, or mixes up a.m. and p.m. What helps: book the date and time you land in Japan and check them against your booking email; a change more than 24 hours before pickup is free.

5. Something left in the car (6 bookings)

Two pairs of sunglasses, two phones, a pillow and a passport. Message us as soon as you notice; we contact the driver right away and arrange how it gets back to you.

6. Mistakes on our side (28 bookings, 2.2%)

These are the ones that were on us. In every one of these 28 bookings we compensated the traveler, and each of them accepted. What matters just as much is what we did about it.

What went wrongBookingsWhat we did about it
Driver late, hard to find, or with the wrong details (flight time, name on the board)12Compensated each traveler, and updated our driver app: your booking page usually shows the driver's live location, and we usually notify you when the driver arrives
Complaints about driving or the driver's manner7Compensated; every complaint is logged against the driver, and a driver with repeated complaints stops getting RydAgent rides
Child seat not the type booked, missing, or not fitted properly6Refunded that seat right away; corrected our wording and added a note at booking; our partner companies have since added more child and infant seats
Fluent English-speaking driver option booked, but the traveler found the driver's English not good enough5Refunded the option
Dropped at the wrong building, or across the road2Partial refund, plus the same driver-app update as the first row
Waiting fee taken in cash when none was due2Refunded the fee

Some bookings had more than one of these, which is why the rows add up to 34.

  • Two of the six seat problems, both in September, came from our own wording. Our site described the infant seat as rear-facing, but the seats in the cars are forward-facing. When parents told us, we refunded the seat straight away, corrected the wording, and added a note next to the seat option at booking. The other four were a seat of the wrong type, two missing boosters and a seat that couldn't be fitted properly; we refunded those seats too and flagged the problem to our partner companies, which have since added more child and infant seats. All our infant seats, child seats and boosters are forward-facing, at ¥2,000 each. If your baby needs a rear-facing seat, bring your own: it rides as luggage and you fit it.
  • On English: most drivers have basic English and use a translation app to communicate, and the chat on your booking page translates both ways. The fluent English-speaking driver option is 20% extra and can't be guaranteed. There's no test for "fluent", so if you feel your driver's English wasn't good enough, tell us and we refund the option.
  • On driving: every complaint about a driver is recorded. One complaint is followed up; repeated complaints mean the driver stops getting RydAgent rides.
  • If something goes wrong on your ride, tell us — with screenshots if you have them. We check, and when it's on our side we refund the part that went wrong or part of the fare.

Underneath all of this sits one more change: we've raised what we pay our partner transport companies per ride above the usual market rate, so drivers aren't rushed from one job to the next, have time to rest, and have a reason to treat RydAgent rides with care.

7. A driver who doesn't show up (2 in about 1,450 rides)

This is the one travelers fear most, so here is the whole record: between April 7 and October 6, 2026, RydAgent arranged about 1,450 rides with its partner transport companies, and twice a driver failed to show up. If your assigned driver can't make it, we arrange another one. If your driver doesn't show up because of us: full refund, your taxi on us, plus ¥10,000 (on hourly charters, double your money back). We contact you; there's nothing to claim, and our side is done within 24 hours.

  • Connecting through another airport: if a delay makes you miss the connection, send us the new flight as soon as you have it.
  • Travelling with a baby: add infant or child seats when you book, and bring your own if you need rear-facing.
  • Landing on a busy evening: the line is out of your hands and your free waiting started at landing; message us in the chat if it looks like it will pass 90 minutes.
  • Being picked up at a hotel: wait in the lobby with your booking page open, and message the driver there if you can't see the car.

The driver contacted us as soon as we landed in Tokyo. He provided clear instructions how to meet after we got our luggage. He had to wait an extra 30 mins since our plane was delayed. Great service, great / clean car and a nice ride to our hotel. Thanks.

My wife and I had a flawless experience using this transfer service from Tokyo's Haneda Airport to Central Tokyo. Although we are in our 70s, we are experienced travelers and usually take public transit or a taxi from airports to hotels. However, this was our first trip to Asia and with a 12-hour flight from Chicago, we decided that we needed to make the hotel transfer easy. And it was. Communication with the company was excellent. They messaged me through WhatsApp several times to make everything was clear. In fact, I messaged them when we landed, that the plane was an hour early and hoped they could pick us up sooner. They responded yes and sure enough our driver,John, was there to meet us past customs. John was very friendly and very professional. His English was excellent. He handled the luggage. The vehicle was comfortable. He made us feel welcome. I highly recommend them and would use them again without hesitation.

Our driver picked us up at our hotel and dropped us at Haneda Airport Departures (Terminal 3) as requested. It was a very comfortable and safe ride and the vehicle was very clean and spacious. Thank you so much!

— Valerie Pendon, Jun 2026

Great experience using this private transfer from our hotel to Haneda Airport. Booking was easy, and when we needed to adjust our pickup time, the operator was very responsive. The driver arrived on time and the ride was smooth and stress-free. Would definitely use again.

Professional service that takes the stress out of airport transfers. Our family has been to Tokyo a few times. Airport transfer by train, taxi, and private car. This service is good value, especially for groups. We had a very comfortable and well kept vehicle. Driver was very professional, polite, and easy to work with. We had an hour long flight delay and sat on the runway for 20 minutes after landing. This service was very flexible and helpful through the situation. Driver was patiently waiting when we arrived.

Karazawa Ryou was our driver. He texted us his contact info via Whatsap the day before our flight. In between flights, we learned that our connecting flight had been delayed. Instead of arriving at 9:15pm, we would now be arriving at I1:30pm. Such a significant amount of delay time...plus, arriving so much LATER at night, I was worried that our driver would no longer be able to pick us up. I notified him, and he responded, "Don't worry. I'll wait for you. See you later." He even included a smiley face! I went from panic to peace in an instant. As we were exiting the plane, I received a text from him notifying me that we had landed at Terminal 2, so it would be quicker to get out. I should let him know once we had picked up our luggage, and he would be at the exit within one minute with a sign. I was pleasantly surprised at how smoothly this process went, and the SUV exceeded my expectations. It was lush and immaculately clean. I commend the driver on his professionalism and would not hesitate to hire him again. This experience was BETTER THAN PERFECT!
