Japan Airport Transfers: 10 Questions Travelers Ask Most
Your flight is booked and the hotel is paid. Then the small questions arrive, usually late at night: will five suitcases fit, where do we find the driver after customs, what happens if the plane lands two hours late? We wanted to know which of these questions travelers really ask, so we counted.
How we counted
We took every message travelers sent us between September 1 and October 27, 2026: 3,335 messages about 900 bookings, by WhatsApp, email, SMS and the chat on the booking page, plus 626 messages in 197 conversations on our website chat (including LINE) and WhatsApp inquiry line, mostly from people who hadn't booked yet. Each message was labeled by topic with the help of an AI model and spot-checked by hand. A conversation counts once per topic, however many messages it took, so the percentages below are shares of conversations, not of messages.

Questions about planning an hourly charter day came up in 58 conversations; we left them out because this page is about transfers. Just below the top 10: tolls, waiting fees and tips (47), payment (42), child seats (32), how late you can book (31), the driver's English (23) and how long immigration takes (21).
The split is the useful part. In inquiry chats, people want three things settled: the price, the car and the luggage. In booking chats, the questions turn practical — changing a time, who the driver is, whether the booking really went through, the exact address. If you're still deciding, answers 1 to 4 are the ones that matter; if you've booked, start at 5.
1. How much does it cost, and is my date available?
RydAgent's prices are fixed per vehicle, not per person, and the site shows yours as soon as you enter the pickup and drop-off — before you give a name or an email. The price doesn't change with traffic, the time of night or the number of bags.
| Route (central Tokyo = the 23 wards) | Toyota Alphard (up to 4 passengers) | Toyota HiAce (up to 9 passengers) |
|---|---|---|
| Haneda Airport → central Tokyo | ¥16,000 | ¥20,000 |
| Narita Airport → central Tokyo | ¥24,000 | ¥30,000 |
Your price is all-inclusive: tolls, parking, fuel, taxes, and meet & greet with a name board on airport pickups. Free waiting is included — 90 minutes from actual landing on airport pickups timed to your flight, 30 minutes on other transfers; on hourly charters, waiting is part of your booked hours. Tipping is never expected — never required. The only extras are ones you choose.
As for dates, the calendar is open year-round. Online booking closes at 20:00 Japan time the day before your ride, subject to availability, and booking the day before costs the same fixed price as booking months ahead. For anything sooner, message us on WhatsApp and we'll check whether a car can be arranged.
2. Which car fits our group?
- Toyota Alphard (up to 4 passengers) — the usual choice for 1 to 4 people with normal luggage.
- Toyota HiAce (up to 9 passengers) — for 5 to 9 people, or a smaller group with a lot of luggage. A Japanese taxi seats four; a HiAce takes up to nine passengers and their bags in one car.
- 10 or more people — book two cars or more. The passenger number is a hard limit; luggage isn't, as answer 4 explains.
3. Can you use this exact address — or add a stop?
Yes, and the exact address helps: a hotel name with its street address, or a map pin, beats a neighborhood name. Three situations come up again and again:
- Two addresses, one car. One transfer includes one drop-off. Taking the same car on to a second address is an add-on (Driver assistance), priced by the drive time between the two: one 30-minute unit (¥3,000 for an Alphard, ¥4,000 for a HiAce) for up to 30 minutes, two units for up to 60. Further than that, ask us.
- A short stop on the way. One stop of under 30 minutes is one Driver assistance unit; two or more stops, or a stop of 30 minutes or longer, is booked as an hourly charter instead.
- Long rides. On a transfer whose estimated drive time is over 2 hours, a toilet break at an expressway rest area is free.
4. Will our luggage fit?
Count passengers plus large suitcases. An Alphard takes up to 8 in total and a HiAce up to 18, as long as the passenger count stays within the car's limit (4 or 9). Empty seats can carry bags; extra bags never make room for extra people.
| Group | One car that fits |
|---|---|
| 2 people, 6 large suitcases | Alphard (2 + 6 = 8) |
| 3 people, 4 large suitcases | Alphard (3 + 4 = 7) |
| 6 people, 10 large suitcases | HiAce (6 + 10 = 16) |
| 6 skiers, each with a suitcase and a ski or snowboard bag | HiAce |
| 2 bike boxes of about 140 cm, plus luggage | HiAce |
A folded stroller counts as one large suitcase. Golf bags, longer bike boxes or anything unusually shaped: tell us the sizes when you book and we'll say whether a second car makes sense. The driver loads and unloads your bags at the car; that's included.

5. Can I change the pickup time or date?
This was the single most common request after booking: 121 of 900 bookings asked for it. More than 24 hours before pickup, changes are free — you pay or get back any price difference. Open Manage this booking online in your booking email to change the date, time, pickup or drop-off, flight or passenger count yourself when the price stays the same; for anything that changes the price, ask in the chat and we'll do it. Inside 24 hours we do our best but can't promise, so ask as early as you can.
6. Where exactly will the driver meet us?
At the airport: in the arrivals hall, after you clear customs, holding a name board — standard on RydAgent airport pickups and included in the price. Where an airport's layout doesn't allow a board, the driver sends a photo and the exact spot in the chat on your booking page. If you come out and can't see anyone, stay in the arrivals hall and message us; the driver will come to find you with the sign.
At a hotel, station or cruise terminal: there's no name board. When the driver arrives we usually notify you right away, and you can message the driver directly on your booking page — you each write in your own language and it's translated automatically. If anything is unclear, a real person on our team steps in quickly. For a station pickup, it helps to tell us which exit you'll use. More: where your driver waits at each Japanese airport.
7. Is my booking confirmed?
If you paid, or chose Reserve now, pay later, yes: once you book, your ride is confirmed and we arrange the driver. Your confirmation email is sent as soon as you book, with a Manage this booking online link to your booking page. Can't find it? Check your spam folder, then go to rydagent.com/en/my-bookings, enter your booking number and email, and ask for the link to be emailed to you.
8. Who is my driver, and how do I reach them?
Once a driver is assigned, your booking page shows their name, car and plate. Drivers are assigned at different times — sometimes days ahead, sometimes on the day — so an empty driver field the evening before is normal. Once your driver is on the way, the booking page usually also shows their live location on a map. There's no separate app to download.
On language: most drivers have basic English and use a translation app to communicate. The chat on your booking page translates both ways, so writing there works better than calling. A fluent English-speaking driver is an option on the booking page for 20% extra; we can't always secure one, and if we can't, we refund that part.
9. What if my flight is late — or changed?
Put your flight number on the booking and you don't have to tell us about delays: we track the flight, and the driver comes for the actual landing. The 90 minutes of free waiting start when the plane actually lands, so a late flight doesn't use any of them. If you need longer than that — a very long immigration line, say — your driver keeps waiting as long as you ask, at ¥1,500 per 15 minutes for an Alphard (¥2,000 for a HiAce), and we reassign the driver's next job.
If the airline cancels your flight or moves it to another day, you choose: a free change to your new flight, or a full refund, even inside 24 hours. Send us the new flight details as soon as you have them. In September and October, travelers told us about a delayed, cancelled or rebooked flight on 31 bookings; the details are in what goes wrong on Japan airport transfers.
10. Can I cancel and get my money back?
Cancel more than 24 hours before pickup and you get a full refund — do it yourself from your booking page and the refund goes through automatically. Inside 24 hours there's no refund, with one exception: if the airline cancels your flight or moves it to another day, you choose a free change or a full refund (airport transfers booked with your flight number). With Reserve now, pay later, trips 48 hours or more ahead cost ¥0 today: your card is charged automatically 48 hours before pickup, and cancellation is free until 24 hours before.
Also asked: tolls, payment, child seats, language
- Tolls, waiting fees and tips (47 conversations). Tolls, parking and fuel are in the price. Waiting past the free time is the only time-based charge, and tipping is never expected — never required.
- Payment (42). All major credit cards (Visa, Mastercard, Amex, JCB) through Stripe, or Reserve now, pay later for trips 48 hours or more ahead.
- Child seats (32). Japanese law doesn't require child seats in taxis and other licensed passenger vehicles, so don't count on one being in the car — book it. Infant seats, child seats and boosters are ¥2,000 each and are fitted before pickup. All our seats are forward-facing; if your baby needs a rear-facing seat, bring your own — it rides as luggage and you fit it.
- How late you can book (31). Until 20:00 Japan time the day before, subject to availability (answer 1).
- The driver's English (23). See answer 8.
- How long immigration takes (21). It depends on the airport, the terminal and how many flights land together; the 90 free minutes start at landing either way. Ways to get out faster: Japan airport immigration queue tips.
The timing rules in one table
| Situation | Rule |
|---|---|
| Latest online booking | 20:00 Japan time the day before the ride (subject to availability) |
| Free changes and free cancellation | More than 24 hours before pickup |
| Airline cancels or moves your flight | Free change or full refund, even inside 24 hours |
| Free waiting, airport pickup with a flight number | 90 minutes from actual landing |
| Free waiting, other transfers | 30 minutes from the booked time |
| Reserve now, pay later | ¥0 today for trips 48+ hours ahead; charged 48 hours before pickup |
If you're…
- A family of five with two big cases each: book a HiAce (5 + 10 = 15 of 18), and add child seats when you book.
- On a long-haul flight that lands at night: put the flight number on the booking and stop worrying about delays; there's no late-night surcharge.
- Connecting through another airport: if you miss the connection, send us the new flight as soon as you have it.
- Two couples heading to two hotels: one car with a second drop-off usually costs less than two cars; ask in the chat.
