How Late Can You Book a Private Airport Transfer in Japan?
Online booking closes at 20:00 Japan time the day before your ride. One rule covers airport pickups, airport drop-offs, point-to-point rides and hourly charters alike:

Two examples. Booking at 19:30 on a Monday, a 06:00 Tuesday drop-off at Narita is still bookable online. Booking at 20:15 on the same Monday, the site starts from Wednesday — for Tuesday, it's a WhatsApp message. Japan doesn't change its clocks, so 20:00 Japan time is always 11:00 UTC; if you're booking from another time zone, check the Japan time before you assume there's still time.
One detail catches out late-night arrivals: the pickup date is the date you land. A flight touching down at 00:40 on a Wednesday is a Wednesday pickup, so it can be booked online until 20:00 on the Tuesday.

If it's already past 20:00 the night before — or you're standing in the arrivals hall with nothing booked — here is the honest comparison. A private car is not always the right answer, and for today it can't be booked online at all:

Read that table honestly and two things jump out. From Haneda, if you are one to three people with normal luggage, the taxi rank is cheaper and perfectly good — take it. From Narita, the fixed-price private car costs less than the airport taxi's fixed fare before tolls are even added, seats up to 4 with 4 large cases (or 9 people in a HiAce from ¥30,000), and the driver is waiting at arrivals with a name board instead of you queueing. That gap is why Narita is the airport where booking by 20:00 the night before pays off most.
Why It Pays to Book a Few Days Ahead
Booking the day before works. Booking a few days ahead is simply the safer plan — and it costs nothing extra:
- Waiting doesn't get you a better price. The fixed price is the same whether you book three months ahead or the evening before — no early-booking discount to chase, and no rush fee or night surcharge for booking late.
- Booking early keeps you flexible. For trips 48+ hours away you can reserve now and pay ¥0 today: your card is charged automatically 48 hours before pickup, and cancellation stays free with a full refund until 24 hours before pickup. Book inside 48 hours and you pay at booking; inside 24 hours, the booking is non-refundable from the moment you confirm it.
- The cutoff runs on Japan time. 20:00 in Japan is 11:00 UTC, so "I'll book it tonight" in your own time zone can already be too late for tomorrow.
- Peak dates are busier. More travelers book around cherry-blossom season, Golden Week, Obon and New Year; locking your ride in early is the calm way through them.
- Remote pickups need a full day anyway. A ryokan in the mountains or a pickup in Takayama needs at least 24 hours' notice, on top of the 20:00 cutoff.

What Happens After You Book the Day Before
The same things that happen on any booking:
- Confirmation is immediate. The price you saw is charged, a booking number arrives by email, and we arrange your driver.
- Your flight is monitored. Give us the flight number and the driver goes by your actual landing time — there's no need to tell us about a delay.
- Airport pickups include 90 minutes of free waiting from your actual landing, so immigration queues and slow baggage belts are the driver's problem to absorb, not yours.

Payment and Cancellation When You Book Close In — Read This Part
Two rules change when you book close to pickup, and we'd rather you know them now than discover them later:
- You pay at booking. Our "reserve now, pay ¥0 today" option applies to trips booked 48+ hours ahead. Inside 48 hours, the card is charged when you confirm — standard for the industry, but worth saying plainly.
- Free cancellation ends 24 hours before pickup. A booking made at 19:00 for a 09:00 pickup the next morning is therefore non-refundable from the moment you make it. What protects you instead is flight monitoring and the 90-minute free waiting — and if the airline cancels your flight or moves it to another date, you choose between free rebooking and a full refund, even inside 24 hours.
When Booking the Day Before Isn't Enough
- Remote pickup points. A pickup 50 km or more by road from our nearest vehicle base — mountain onsen towns, Takayama, Matsumoto, Karuizawa — needs at least 24 hours' notice as well as the 20:00 cutoff: booking at 14:30, the earliest pickup is 14:30 the next day. The empty car may drive two hours just to reach you, so the booking form tells you upfront instead of cancelling on you later.
- Full-day charters. Hourly charters (8 hours minimum) follow the same 20:00 cutoff — book by 20:00 tonight for a charter tomorrow. For anything sooner, message us on WhatsApp and we'll check whether a car and driver can be arranged.
