Short answer: land at Itami if the schedule allows it, because 30 minutes and ¥16,000 beats 50 minutes and ¥19,000; land at Kansai when the flight is international or after 21:00. For a 09:00 meeting in Umeda, plan to be on the ground by 08:00 at Itami or 07:00 at Kansai. The last row is the one worth planning around. A receipt showing only the issue date, submitted against a trip on a different day, gets sent back. After a customer asked us to add the ride dates to his receipts in July 2026, we made ride date and time a standard field on every receipt rather than an optional one.

What the National Tax Agency Actually Requires on an Invoice

Under Japan's invoice system (インボイス制度, inboisu seido), an invoice is defined by what it contains, not by what it is called. The National Tax Agency states plainly that a document is an invoice regardless of its name, so a receipt (領収書) or a delivery note can be one if it carries the required items. Those items, from the NTA's own summary page, are:

  • The name of the party the invoice is issued to
  • The seller's name and registration number
  • The transaction date
  • The transaction content, including a note where the reduced tax rate applies
  • The total amount for each applicable rate, 10% and 8%, and the applicable rate
  • The consumption tax amount for each of those rates

The registration number is issued by the tax office after a business registers as an invoice-issuing business (適格請求書発行事業者, tekikaku seikyusho hakko jigyosha), and a seller has to be registered before it can issue one. On the buyer's side, the NTA is equally direct: to take the input tax credit, your company must receive an invoice from a registered issuer and keep it. That is why your accounting department cares about the number and not about the paper.

You can check any number yourself. The NTA runs a public lookup at invoice-kohyo.nta.go.jp, where you enter the 13 digits that follow the T and it returns the registered business, up to 10 numbers at a time.

The taxi exception, which is not the exception people think

A metered taxi slip usually has no company name on it, and travellers assume that makes it worthless. It does not. The NTA allows certain businesses to issue a simplified qualified invoice (適格簡易請求書, tekikaku kani seikyusho) with some items dropped: the recipient's name may be omitted, and either the tax rate or the tax amount is enough rather than both. Its Invoice Q&A, question 24, lists the businesses that may do this: retail, restaurants, photography, travel businesses, taxi businesses, parking operators serving the general public, and businesses of a similar nature. The NTA even warns buyers not to treat a missing addressee as a defect, because it may simply be a simplified invoice.

So the honest version is this. A taxi receipt is not disqualified by having no company name on it, and it may well satisfy your tax department if the operator is registered and the number is printed. What a meter slip cannot do is exist before the trip. You cannot put it on a travel request, you cannot forecast the amount, and you cannot have it reissued from Tokyo three weeks later with a corrected description line.

What We Issue, and What to Confirm Before You Book

We issue a formal Japanese receipt, a ryoshusho (領収書), on request, and here is the complete list of what that means so there is nothing to discover later:

  • Addressee (宛名): personal name, company name, or company plus department, exactly as you specify.
  • Description (但し書き): your wording. A format that passes Japanese expense review as it stands is 大阪空港から梅田までのタクシー定額代 (fixed taxi fare from Osaka Itami Airport to Umeda). Generic wording such as 旅客運送費 also works.
  • Ride date and time (乗車日時): standard on every receipt, with each leg of a round trip listed separately if you need it that way.
  • Issued after the trip: email us at any point after the ride and a PDF comes back.
  • Combined or split: one receipt covering both legs, or one per leg.
  • Reissues: corrections and additions handled the same day.
  • Amount: the fixed price you booked. Every quote is the amount you actually pay, with consumption tax included.

What we are deliberately not claiming. This page does not tell you that your receipt will carry an invoice-registration number, because that turns on registration status rather than on the ride, and a business traveller should not find out the answer at the expense desk. Every central Osaka business address sits in one price zone, so Umeda, Honmachi, Yodoyabashi, Nakanoshima, Shin-Osaka and Namba all cost the same from either airport. The prices below are per vehicle, not per person, and they do not change with the hour of the day.

Departures cost the same as arrivals: Osaka city to Kansai is ¥19,000 / ¥24,000, Osaka city to Itami ¥16,000 / ¥19,000. Land by When? Working Back From a 09:00 or a 13:00 Meeting

Land by 08:00 at Itami or 07:00 at Kansai for a 09:00 meeting in central Osaka, and by 07:30 or 06:20 respectively for one in Kyoto. Two of the three numbers behind those times are ours and one is an assumption, so here it is in the open. The drive times come from our booking engine: about 30 minutes Itami to central Osaka, about 50 minutes from Kansai, about 90 minutes Kansai to Kyoto and about 60 minutes from Itami. We then allow 60 minutes from wheels-down to the arrivals exit on an international arrival at Kansai and 20 minutes on a domestic arrival at Itami, where there is no immigration queue. Those two allowances are our planning numbers rather than published figures, because passport control and baggage vary by the hour. That variability is exactly why an airport pickup includes 90 minutes of free waiting counted from your actual landing time.

Each row targets being at the door at 08:50 or 12:50, ten minutes before the meeting.

The same sum by train, so you can compare honestly. On weekdays the first Haruka limited express leaves Kansai Airport at 6:31 and reaches Osaka Station at 7:38, Shin-Osaka at 7:46 and Kyoto at 8:11; the next two leave at 7:27 (Osaka 8:27, Kyoto 8:59) and 7:56 (Osaka 9:01, Kyoto 9:34). During the day the run takes about 48 minutes to Osaka Station, 53 to Shin-Osaka and 80 to Kyoto. So the train also makes a 09:00 Umeda meeting from an early Kansai landing, and it makes it for a fraction of the money. What it does not do is start at your kerb with your bag in the boot, and it puts a station transfer between you and Honmachi.

Fares, for completeness: the HARUKA One-way Ticket is ¥1,800 to Osaka or Shin-Osaka, ¥2,200 to Kyoto, ¥2,000 to Kobe and ¥1,300 to Tennoji, but it is restricted to holders of a foreign passport entering Japan on Temporary Visitor (短期滞在) status. A short business trip on that status qualifies; an employee already living in Japan, or one entering on a work status, pays the ordinary fare plus the limited-express charge, which is higher. The Last Flight Problem: Itami Closes at 21:00, Kansai Does Not

This is the single scheduling fact that shapes an Osaka business trip. Itami is domestic-only, and its published operating hours run 07:00 to 21:00, so the last flights of the day are scheduled to land before then and there is no late option at all. Kansai is open 24 hours a day, although some entrances and exits may not be available at night, which is why an evening long-haul arrival lands there rather than at Itami.

What that means for the two ends of your day:

  • Landing at Itami before 21:00. The Hankyu limousine bus to Osaka Station front runs to Osaka Marubiru, Herbis Osaka and Hotel Hanshin for ¥730 adult in about 30 minutes, first bus 07:55 and last bus 21:30 from the airport, no reservation, same timetable on weekdays and weekends. For one person with a laptop bag that is the sensible choice and we will not pretend otherwise.
  • Landing at Kansai late. The last weekday Haruka leaves Kansai at 22:16 and reaches Osaka Station at 23:04, Shin-Osaka at 23:09 and Kyoto at 23:32. After that the options thin out fast; our fixed price does not change at any hour, and there is no night surcharge.   • Delays. We track the booked flight. A delay of more than 20 minutes adjusts the pickup automatically and notifies both you and the driver, and free waiting is always counted from actual landing, so a late flight never eats into it.
  • If you overrun the 90 minutes. The driver does not leave. Waiting past 90 minutes is billed at ¥6,000 per hour for an Alphard and ¥8,000 for a HiAce, in 15-minute blocks, with under 15 minutes not charged, and we reassign the driver's later jobs so he can stay. Settle it in cash, by a card link on the spot, or from the hotel later.
  • The flight home. A departure transfer is a different service: free waiting is 30 minutes rather than 90, there is no name board, and the driver contacts you in advance and sends a photo of the vehicle and the exact pickup spot instead.

Take the Train If… Take the Car If…

  • Book the HiAce if the team is five to nine people. A delegation is where the car stops competing on price and starts being the only single-vehicle answer: Uber's largest Japanese option, UberXL, is listed at up to 6, and a taxi company's nine-seat jumbo must be reserved in advance on a limited schedule. One HiAce takes 9 passengers with 9 large bags and 9 carry-ons on one booking and one 領収書, rather than three taxis arriving separately with three receipts to reconcile.
  • Take the bus or the train from Itami if you are travelling alone with a laptop bag and your meeting is near Osaka Station. ¥730 and about 30 minutes on the Hankyu limousine bus beats every other number on this page, and the last bus is 21:30.
  • Take a taxi from the Itami rank if you have no booking and you are one person. Itami is close enough to central Osaka that a metered fare is normally less than our ¥16,000 fixed price for a single traveller, and we would rather say that than argue it. What the meter will not give you is a figure to put on a travel request before you fly, or a receipt with your company's name and the journey written on it.
  • Take the Midosuji Line for the Shin-Osaka hop if you arrive by Shinkansen. Shin-Osaka to Umeda is three stops (M13 to M16), Yodoyabashi four and Honmachi five, at ¥190 to ¥290. A car for that same leg is our ¥19,000 city minimum, which only makes sense with a group, luggage or a chain of same-day meetings.
  • Take the car from Kansai if you land on a long-haul flight, have an early meeting, or are moving 3 or 4 colleagues together. Four people in one Alphard is ¥4,750 each against ¥1,800 each on a Haruka one-way ticket, so the car costs about ¥2,950 more per head and buys back a station transfer, a taxi queue at the far end and everybody's luggage.
  • Take the car for the Kyoto leg if your day is Osaka in the morning and Kyoto in the afternoon. Kyoto to Osaka is ¥32,000 with your bags in the vehicle between meetings, and the pickup point at Kyoto Station or Shin-Osaka is a defined meeting spot rather than a taxi rank at 17:30.
  • Take the car whenever the receipt is the constraint, because it is the only option on this list where the paperwork is issued to your specification the first time and can be corrected by email afterwards, since the booking record still exists.

What We Can't Do

  • We can't promise you will arrive on time, at a meeting or at an airport. Traffic on the Hanshin Expressway is not ours to control. For an international departure we recommend leaving at least 3 hours ahead, and we do not refund a missed flight caused by traffic.
  • We can't tell you on this page that your receipt will carry an invoice-registration number. We issue a formal 領収書 with the addressee, description line and ride date and time as you specify. If a registered qualified invoice is a requirement, ask before booking.
  • We can't wait free beyond 90 minutes on an airport pickup, or 30 minutes on a departure or point-to-point ride. The driver stays and the overtime is billed at the rates above. We would rather write that plainly than advertise unlimited waiting and then discuss it at the kerb.
  • We can't promise a specific bag count will fit without seeing the load. An Alphard is published at up to 4 passengers with 4 large bags plus 4 carry-ons, a HiAce at 9 and 9. Send the numbers and we will advise.
  • We can't promise a fluent English-speaking driver as standard. Most drivers have basic English and use translation apps. A fluent English-speaking driver can be requested for 20% of the car fare, subject to availability and refunded if we cannot arrange it. A Chinese-speaking driver is free on request: the driver network is majority Chinese-speaking, so most rides can be conducted directly in Chinese.
  • We can't take a same-day booking at any hour. Airport pickups can be booked as late as 2 hours before, but a booking made between 20:00 and 8:00 Japan time can be for 10:00 the following morning at the earliest. For anything sooner, message us on WhatsApp and it can usually be arranged.

Should I fly into Kansai Airport or Itami for a morning meeting in Umeda or Honmachi?

Itami, if the schedule allows it. Itami is roughly 30 minutes from Umeda, Honmachi, Yodoyabashi and Nakanoshima and our fixed price is ¥16,000 for an Alphard (up to 4 passengers) or ¥19,000 for a 9-seat HiAce; Kansai is about 50 minutes out at ¥19,000 / ¥24,000. The catch is that Itami handles domestic flights only and its published operating hours are 07:00 to 21:00, so an international arrival lands at Kansai, or at Haneda or Narita with a domestic connection to Itami of a little over an hour. Will a private transfer receipt be accepted by a Japanese company's expense system?

In our experience, yes, when it carries the four fields expense departments check: the addressee (宛名) written as your company name, a description line (但し書き) that names the journey rather than saying "transport", the ride date and time (乗車日時), and the amount. We issue a formal Japanese receipt, a ryoshusho (領収書), with those fields written as you specify, as a PDF by email, at any time after the trip, with round-trip legs combined on one receipt or issued separately. Do you issue a qualified invoice (適格請求書) with an invoice-registration number?

Ask us before you book and we will tell you plainly what we can issue for your booking. What we state here is what we know we do: a formal ryoshusho (領収書) with the addressee, description line and ride date and time written as you specify, tax included in the quoted price. We do not claim on this page to issue a qualified invoice carrying an invoice-registration number, because that depends on registration status rather than on the ride, and a business traveller should not discover the answer after the trip. If your company needs the registration number for its consumption-tax input credit, raise it at booking, not at the expense desk.

Is a taxi receipt enough under Japan's invoice system?

Often yes, and for a different reason than people assume. The National Tax Agency allows retail, restaurant, photography, travel, taxi and parking businesses to issue a simplified qualified invoice (適格簡易請求書) in which the recipient's name may be omitted and either the tax rate or the tax amount is enough. So a taxi slip with no company name on it is not automatically defective. What it still needs is the operator's registration number, which you can check at invoice-kohyo.nta.go.jp by entering the 13 digits after the T. What a meter slip will not give you is a price you could put on a travel request before you flew.

What time do I have to land at Kansai Airport to make a 09:00 meeting in Umeda?

About 07:00, working backwards. The drive from Kansai to central Osaka is about 50 minutes, so a kerbside departure at 08:00 puts you at the door around 08:50, and we allow 60 minutes from wheels-down to the arrivals exit on an international arrival. That allowance is our planning number, not a published figure, which is exactly why airport pickups include 90 minutes of free waiting counted from your actual landing time. For Kyoto, make it 06:20 at Kansai or 07:30 at Itami.

Is the train faster from Shin-Osaka to Umeda or Honmachi than a car?

Usually, and we will say so. Shin-Osaka to Umeda is three stops on the Osaka Metro Midosuji Line (M13 to M16) and Honmachi is five (M18); Osaka Metro's adult fare is ¥190 up to 3 km, ¥240 for 3 to 7 km and ¥290 for 7 to 13 km, so those hops cost ¥190 to ¥290. A car for the same hop is our ¥19,000 city minimum. Book the car for that leg only when you have a group, luggage or samples to move, a same-day chain of meetings, or a hard arrival time you are unwilling to hand to a platform escalator.

Can you guarantee I arrive on time for the meeting or the flight home?

No, and we will not write that we can. Traffic on the Hanshin Expressway is outside anyone's control, so we do not promise punctual arrival at a meeting or at an airport, and we recommend leaving for an international departure at least 3 hours ahead. What we do control is fixed: the price is locked at booking, the driver is usually assigned the day before, flight delays over 20 minutes adjust an airport pickup automatically, and if the driver does not show, the ride is free plus ¥10,000 and your replacement transport is on us.

Professional service that takes the stress out of airport transfers. Our family has been to Tokyo a few times. Airport transfer by train, taxi, and private car. This service is good value, especially for groups. We had a very comfortable and well kept vehicle. Driver was very professional, polite, and easy to work with. We had an hour long flight delay and sat on the runway for 20 minutes after landing. This service was very flexible and helpful through the situation. Driver was patiently waiting when we arrived.

Karazawa Ryou was our driver. He texted us his contact info via Whatsap the day before our flight. In between flights, we learned that our connecting flight had been delayed. Instead of arriving at 9:15pm, we would now be arriving at I1:30pm. Such a significant amount of delay time...plus, arriving so much LATER at night, I was worried that our driver would no longer be able to pick us up. I notified him, and he responded, "Don't worry. I'll wait for you. See you later." He even included a smiley face! I went from panic to peace in an instant. As we were exiting the plane, I received a text from him notifying me that we had landed at Terminal 2, so it would be quicker to get out. I should let him know once we had picked up our luggage, and he would be at the exit within one minute with a sign. I was pleasantly surprised at how smoothly this process went, and the SUV exceeded my expectations. It was lush and immaculately clean. I commend the driver on his professionalism and would not hesitate to hire him again. This experience was BETTER THAN PERFECT!
